1. Service Description
AI DeskFlow is a private artificial intelligence platform that enables professionals to query, analyze, and leverage their documents with full confidentiality. The service includes secure document storage, AI-powered analysis, and access via a web interface and messaging applications (WhatsApp, Telegram).
2. Account Creation
To use AI DeskFlow, you must create an account by providing accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities conducted through your account. You must notify us immediately of any unauthorized use.
You must be at least 18 years old or have the authorization of a legal guardian to use the service.
3. Subscription and Billing
AI DeskFlow offers several subscription plans (Free, Solo Pro, Cabinet, Enterprise) with monthly or annual billing. Prices are displayed in US Dollars (USD) and are exclusive of applicable taxes (VAT). For consumers located in the EU, the final price including VAT will be shown at checkout.
- Payments are processed securely by Stripe (PCI DSS Level 1 certified). AI DeskFlow does not store any credit card data.
- Subscriptions are automatically renewed at the end of each billing period.
- You may change your plan or cancel your subscription at any time from your dashboard. Cancellation takes effect at the end of the current billing period.
4. Right of Withdrawal (EU Consumers)
In accordance with Article L221-18 of the French Consumer Code and EU Directive 2011/83/EU, consumers located in the European Union have the right to withdraw from their subscription within 14 days of purchase, without giving any reason. To exercise this right, contact us at legal@ai-deskflow.com with your account email and request. Refunds will be processed within 14 days of receiving your withdrawal request, using the same payment method used for the original transaction.
After the 14-day withdrawal period, refunds are not provided for partial usage periods, unless required by applicable law.
5. Usage Limits
Each plan has specific limits regarding the number of documents, monthly queries, and users. These limits are detailed on our pricing page. If limits are exceeded, the service may be restricted until the next billing period or until you upgrade your plan.
6. Intellectual Property
You retain all intellectual property rights to the documents you upload to AI DeskFlow. By uploading content, you grant us a limited, non-exclusive license to process your documents solely for the purpose of providing the service.
AI DeskFlow, its interface, source code, algorithms, and branding are the exclusive property of ETERNA-APP INC. (131 Continental Dr, Suite 305, Newark, DE 19713, USA). Any unauthorized reproduction, modification, or distribution is prohibited.
7. Acceptable Use
You agree not to:
- Use the service for illegal or unauthorized purposes.
- Upload unlawful, defamatory, or rights-infringing content.
- Attempt to circumvent security measures or service limits.
- Reverse engineer the service.
- Use the service for spam, phishing, or any malicious activity.
- Share your login credentials with third parties.
8. AI Output Disclaimer
AI DeskFlow uses artificial intelligence to analyze documents and generate responses. All AI-generated outputs are provided for informational purposes only. They do not constitute legal, medical, financial, tax, or any other form of professional advice, and should not be treated as such. No attorney-client, doctor-patient, or fiduciary relationship is created by using this service.
AI models may produce inaccurate, incomplete, or outdated information. You are solely responsible for verifying any AI-generated content before acting on it. Always consult a qualified professional (lawyer, doctor, accountant, or other licensed expert) before making any decision that may have legal, medical, financial, or other professional consequences.
9. High-Risk Use Prohibition
AI DeskFlow must not be used as the sole or primary basis for decisions in high-stakes domains, including but not limited to:
- Legal proceedings, contracts, or compliance determinations.
- Medical diagnoses, treatment plans, or clinical decisions.
- Financial investment, tax advice, or regulated financial services.
- Any decision where an error could result in significant harm to persons, businesses, or third parties.
In all such cases, AI DeskFlow outputs must be reviewed and validated by a qualified human professional before being relied upon.
10. Limitation of Liability
AI DeskFlow provides the service "as is" and does not guarantee that the service will be uninterrupted, error-free, or suitable for any specific purpose. Responses generated by artificial intelligence are provided for informational purposes only and do not constitute legal, medical, financial, or any other professional advice. Users in regulated professions must exercise their own professional judgment when relying on AI-generated outputs.
AI DeskFlow expressly disclaims all liability for any decision, action, or omission taken in reliance on AI-generated outputs. This includes, without limitation, decisions related to legal matters, medical treatment, financial transactions, or any other professional domain. The user assumes full responsibility for how they use AI-generated content.
To the maximum extent permitted by law, AI DeskFlow's aggregate liability for any claim arising from the use of the service is limited to the total amount paid by the user during the preceding 12 months.
11. Sub-processors
To provide the service, AI DeskFlow relies on the following sub-processors. Each is bound by data processing agreements and applicable data protection law:
- Supabase (EU-West / Ireland): database hosting, file storage, authentication, and real-time features. Your documents and account data are stored here.
- OpenAI (USA): document embedding (text-embedding-3-small) and, optionally, AI chat completions. Used only when configured by the user or workspace. Zero data retention policy applies via API agreement.
- Anthropic (USA): AI chat completions (Claude models). Used only when configured as an LLM provider. Zero data retention via API agreement where available.
- Groq (USA): fast AI inference (Llama models). Used only when configured as an LLM provider. Zero data retention via API agreement.
- Stripe (USA): payment processing, subscription management, and invoice generation. Stripe is PCI DSS Level 1 certified. AI DeskFlow does not store card data.
- Resend (USA): transactional email delivery (account confirmations, security alerts, team invitations).
- Vercel (USA):application hosting and edge delivery. The Next.js application is deployed and served via Vercel's global infrastructure.
- Hetzner (Germany / Finland, EU): dedicated VPS infrastructure for Cabinet and Enterprise plans. Hosts Docker-isolated agent containers and private local AI models when enabled.
For any changes to sub-processors, affected users will be notified in advance in accordance with applicable data protection law.
12. Data Protection & Privacy
Your use of AI DeskFlow is also governed by our Privacy Policy, which describes how we collect, use, store, and protect your personal data. By using AI DeskFlow, you acknowledge that you have read and understood our Privacy Policy.
AI DeskFlow processes data in accordance with the General Data Protection Regulation (GDPR). Your documents are encrypted at rest and in transit. You may request access to, rectification of, or deletion of your personal data at any time by contacting dpo@ai-deskflow.com.
When you use AI features, your data may be processed by third-party AI providers only if you explicitly opt in. On private server plans, all AI processing happens on your dedicated infrastructure. For details on data processors, retention periods, and your rights, see our Privacy Policy.
13. Termination
You may terminate your account at any time from your dashboard. AI DeskFlow reserves the right to suspend or terminate your account in the event of a violation of these terms, with reasonable notice except in cases of emergency.
Upon termination, your documents will remain accessible in read-only mode for 30 days to allow you to export them, after which they will be permanently deleted.
14. Governing Law and Jurisdiction
These terms are governed by the laws of the State of Delaware, United States, without regard to its conflict of law provisions. Any dispute relating to the interpretation or performance of these terms shall be submitted to the competent courts of New Castle County, Delaware, USA.
Exception for EU consumers: In accordance with Article 6(2) of Regulation (EC) No 593/2008 (Rome I), consumers residing in the European Union retain the protection of the mandatory provisions of their country of habitual residence. Nothing in this clause deprives EU consumers of the rights they are entitled to under their local consumer protection laws.
AI DeskFlow is operated by ETERNA-APP INC., a company incorporated under the laws of the State of Delaware, USA (131 Continental Dr, Suite 305, Newark, DE 19713).
15. Consumer Mediation (EU)
In accordance with Articles L611-1 and L612-1 of the French Consumer Code, consumers residing in France or the EU who are unable to resolve a dispute directly with AI DeskFlow may refer the matter to a consumer mediator free of charge. You may also use the European Commission's Online Dispute Resolution (ODR) platform at https://ec.europa.eu/consumers/odr.
16. Modifications
AI DeskFlow reserves the right to modify these terms. Users will be notified by email at least 30 days before any changes take effect. Continued use of the service after that date constitutes acceptance of the updated terms.
